Then the envelope marked 'personal' thuds onto your desk. The resignation letter isn't what you've been expecting, and recruiting was not going to be part of your weekend's activities. So what do you do? The temptation is to do what you've always done. But is this really the best way? Organisations, roles and people are constantly changing so before you dust down the old job advert it might be useful to think about the role and how it now fits into the organisation. Consider: * Does the role still exist? Has its purpose altered? * What has changed in the organisation/department/team in the past month/year/five years? * Has this affected tasks or outputs? * What skills/competencies/personal attributes are needed to complement the existing team/department? * Can these skills be found in the organisation? * Who can help? Gathering information --------------------- Gathering information on the nature of the job (job analysis to use HR-speak) forms the basis of the job description and person specification. A job description is useful as it provides information to potential applicants and recruitment agencies, and can act as an aid later in the selection stage. A person specification or job profile states the necessary and desirable criteria for selection. They are based on a set of competencies identified as necessary for the performance of the job, and include: * skills, aptitude, knowledge and experience * qualifications (which should be only those necessary to do the job) * personal qualities relevant to the job, such as ability to work as part of a team. Competency frameworks may be substituted for job or person specifications but these should include an indication of roles and responsibilities. Once this is done, then you can move onto how to attract applicants. Attracting applicants --------------------- There are many options depending upon your budget and timescale: * Internal methods - providing opportunities for development and career progression is an important factor for employee retention and motivation. Most UK organisations advertise all vacancies internally - using tools such as notice boards or intranets. * External methods - to generating interest from individuals outside the organisation. These include placing advertisements in trade press, newspapers and on the web. Despite the increasing popularity of the internet-based methods in recent years, local newspapers are still remain the most frequently used means of attracting candidates. Advertisements should be clear and indicate the: * outline requirements of the job * necessary and the desirable criteria for job applicants (to limit the number of inappropriate applications received) * nature of the organisation's activities * job location * reward package * job tenure (e.g. contract length) * details of how to apply. Advertisements should be genuine and relate to a job that actually exists. Other ways to attract applications include building links with local colleges, working with the job centre and holding open days. Another more off-the-wall concept is to host a 'speed recruitment' party. Some organisations operate an employee referral scheme that offer an incentive to existing employees to assist in the recruitment of family or friends.
